Do you use your archiving boxes to distribute items to customers and/or other companies? Do you want to reinforce your brand? If so, why not contact us about providing personalised, branded archiving boxes and materials? Back to Top
2. Shredding and Confidential Destruction
Recordsmanagement provides a full, secure and certified confidential destruction service for both stored documents and non-stored, office paper waste. Paper documents are not the only items for which companies have a legal obligation to ensure confidential destruction. Any media which personally identifies individuals must be disposed of securely and responsibly. To help our customers meet this legal obligation, FileStore provides a secure destruction service for computer hard drives, CDs, DAT tapes and other media items. 3. Boxing-Up Services
Need to create space in your storage area, but don’t have the staff or resource to box-up the files yourself? Why not ask Recordsmanagement to complete the task on your behalf? Our experienced Projects Team will provide the archiving boxes/tubes into which the files need to be placed, box them up (according to your instructions), and establish an online inventory that tells you the contents of each box – enabling immediate and accurate retrieval. Contact us today for further information. Back to Top
4. Cataloging and Indexing of Box Contents and Loose Filing
Do you struggle to find the time to create a detailed inventory of the contents of archive boxes before you send them to offsite storage? Are you forced to rely on expensive (and perhaps unreliable) temporary staff to catalogue the contents of your archive store? Could you improve efficiency, accuracy, and introduce cost-savings by outsourcing this service to Recordsmanagement? Our data input team indexes tens of thousands of files, drawings and individual documents each and every week for a diverse range of customers – from NHS Trusts, to solicitors, to architects. Depending on the requirements of each client, we can either provide an ‘as and when’ solution (for peak archiving periods) or a day-to-day indexing service. Contact us today for further information. 5. Data Storage and Rotation
Do you rely on back up tapes for disaster recovery and business continuity? Are these tapes stored in an appropriate, protective environment, inaccessible to all except those with the relevant permissions? Could your current data management techniques put your business at risk? FileStore could help you to lower this risk with our Data Storage and Rotation Services. Contact us today for further information. Back to Top
6. Storage and Distribution of Promotional Literature and Stationery
Do boxes of brochures and letterheads consume your office space? Could you better utilise areas currently set aside for the storage of paper and promotional literature? Why not let Recordsmanagement store and distribute these items on your behalf? We will hold them in our secure premises in Hampshire, and deliver them to whichever office you choose, as and when required. Let us help you make the best use of the most scarce of business resources – space. Contact us today for further information. Back to Top
7. Library and Journal Services
As an approved supplier to many Hospitals and Universities, Recordsmanagement recognised a need for a bespoke journal storage and management service – specifically for those publications which are not yet held electronically, or for which a paper copy is still desired. We store the journals at our secure, environmentally controlled premises in Hampshire, and, as and when an article is requested by an end-user, retrieve the relevant publication from storage, scan the required pages, and then e-mail them either directly to the user, or to the Library’s Loans Department (for them to forward). Please contact us today for further information on this specialist, bespoke service. Back to Top
8. Storage and Management of Critical and Highly Confidential Documents
All archives are business assets which have a value to an organisation. However, some (such as contracts and leases) are absolutely vital to business continuity, and others (like IVF, adoption and pension records) are so extremely confidential that only a double-locked, highly-secure vault will provide adequate protection. For this very specialist need, Recordsmanagement provides two solutions:
- Critical Document Storage (for paper records).
- Scanning and Electronic Storage (for paper and electronic documents).
9. Consultancy and Records’ Management Training
As an established Records’ Management provider, Recordsmanagement’s team have amassed a wealth of experience and knowledge relating to best practice in archiving, document control and retention scheduling. If you have a question or problem which you would like to talk through, please contact us – if we don’t know the answer, we know someone who will! Back to Top
10. Movement of Libraries and Files
Are you moving offices? Do you need to move a large number of files from one location to another? Why not ask Recordsmanagement’s experienced Projects Team to box-up, transport and re-file the records on your behalf? Whilst the movement of files from A to B would appear to be a very straightforward task, if the records are not placed into the crates in exactly the order in which they are stored on the shelves, and then de-canted in this same order, the re-location exercise will be a complete disaster – creating a much bigger task of re-sorting the whole library. At Recordsmanagement, we recognise the importance of using skilled, experienced and knowledgeable staff to complete moving projects – people who understand the consequences of the smallest error. Let our accomplished team take the stress of your office move, allowing you to concentrate on your core business. Back to Top
11. Scanning & EDMS

12. Document Management Software for Paper Records

Recordsmanagement’s secure, online customer interface can provide you with a single, centralised, robust and reliable repository for all data relating to your paper files – both those archived at FileStore, and those stored and managed in your own offices. This application can tell you…
